Administrative Assistant (Summer Student)

Scope of position:

Reporting to the Operations Manager, the Administrative Assistant will provide administrative support services for various departments and will provide support for meetings, fundraising events and campaigns in addition to supporting internal and external communication requirements.

Term: June 1st to August 31st, 2018

Summary of duties and responsibilities:

• Provide full administrative support including calendar management, scheduling, action items, reports, maintenance of filing system, photocopying, printing, etc.
• Database administration including but not limited to data entry and reporting
• Special event and campaign support
• Respond to email and telephone inquiries
• Research and identify fundraising opportunities
• Social media support – (Twitter, Facebook, LinkedIn)
• Other duties as assigned

Partnership Coordinator

Scope of position:

The Partnership Coordinator will secure new partners and manage existing relationships with organizations that have offered free or reduced-price spaces in their sports, recreation, art, and camp programs.

Term: 1 year fixed-term contract w/ possibility of extension

Summary of duties and responsibilities:

• Working closely with project collaborators (CAMPS Project and Ottawa Sportspage newspaper) to activate large-scale programs with existing partners to involve a greater number of children/youth
• Recruiting new partner organizations and servicing accounts to maintain participation in the network
• Working in tandem with current staff to ensure barriers to participation for children/youth are minimized
• Soliciting sponsorships and identifying fundraising opportunities
• Developing and conducting survey(s) to assess partnerships to create improvements in collaboration
• Mapping additional “recreation deserts” and identifying where gaps in service exist

Term: 8 week fixed-term contract

Summary of duties and responsibilities:

• Ensure the effective day-to-day operations of the office by providing professional and courteous support
• Perform administrative duties including sending and receiving faxes, picking up/delivering interoffice
correspondence; purchasing supplies, cleaning/maintaining the office space and equipment, etc.
• Assist in planning and coordinating various community events
• Update and maintain website and social media (posting of upcoming events, newsletters, announcements,
etc.); this includes troubleshooting any technical problems
